Managing a case
Once you claim a case it moves through five stages. Advancing a case through the workflow is done from the case detail view, accessible by clicking on any case in your My Cases tab.
The five stages
1. Assigned
You have claimed the case. The founder is notified and you have access to their company profile and the documents they have uploaded so far. Your first action is to contact the founder and review what documents are already available.
Advance to Review when you have made initial contact and started examining the case materials.
2. In review
You are reviewing the founder's documents against the scheme's eligibility criteria and document checklist. This is the stage where you identify gaps — missing certificates, outdated financials, or incorrect formats.
Communicate with the founder during this stage to request any missing items. Advance to Ready when all required documents are collected and the application is fully prepared.
3. Ready to file
All documents are in order and the application package is complete. This is a checkpoint before submission — the founder can review what will be filed on their behalf. Advance to Filed once you have submitted the application on the government portal.
4. Filed
The application has been submitted. Provide the founder with the application reference number and a copy of the submission acknowledgement. This is the stage at which your fee is released — BenefitStack processes payment within 3–5 business days of the case reaching Filed status.
Advance to Outcome when the government communicates a decision.
5. Outcome
The government has responded — either approving the application, requesting more information, or rejecting it. Record the outcome in the case detail view. If the application was rejected and there is grounds for resubmission, you can discuss this directly with the founder — any resubmission would be handled as a new case.
SLA expectations
BenefitStack monitors case progression. Cases that remain in Assigned or In Review for more than 14 days without documented progress trigger an internal review. Consistent delays may affect your marketplace access. If a case is genuinely blocked (e.g. the founder is unresponsive), contact support@benefitstack.in.
